There Is A Solution To The Event Planning Nightmare

Events must be planned. Most people who have never planned an event have no idea how much time and effort go into pulling all the components together to make a successful event, Historically bosses have tended to delegate the job of event planning to a secretary to do in her spare time.

The boss would tell her that a huge number of clients were to be entertained or that there would be an awards banquet for the top producers from all of the major continents. He would tell her (usually a her) to rent a space and hire a caterer and arrange some entertainment. The entertainment doesn’t have to be spectacular, he would say, just entertaining.

On the other hand, maybe it should be a little spectacular. After all, he will explain, we are entertaining important clients. There should be some singing and dancing, at least.

Maybe there could be a band and some dancers and maybe some circus acts. Everybody loves a magic act, the boss might suggest. It could be symbolic of our magic touch with our clients’s problems.

And there should be fireworks, the boss will suggest. That’s just one more phone call to find out who does fire works and another call to the pyrotechnics company. But before you do that you’ll need to call the fire marshal, the manager of the venue and your insurance company.

As soon as the planner starts making calls he will discover that the best acrobats are available on the days when the best bands are not. The Swiss yodelers all have sore throats and the jugglers have carpal tunnel syndrome. The amazing fire eater has developed a smoke allergy and has retired.

The Dancers of the River troupe is available but at a price that would bankrupt the company. The Cloggers of the Creek are available but you would need to send someone to repair their bus. You would also have to provide childcare and pet sitting after they arrive.

People who have never planned a big event might not realize how many hours of phoning, Emailing, and calling back are involved. It’s hard enough to find a date that the key people in the sponsoring organization can agree. That alone will earn the planner a few gray hairs.

Once you know the date of the event you have to contact the people who can do all the things you need done. And then you will probably have to provide them with things they will need to do what they do.They may bring their own flaming torches to juggle but you may need to make sure they have an adequate sprinkler system and a fireproof floor.

At some point the person in charge will declare that nobody but a magician could get all these loose parts to work together. A smart boss, having watched all this suffering from a safe distance, will realize it is time to call in an expert. There must be somebody who has all the resources necessary for a major event.

So if he is a really smart boss, and he didn’t get to where he is by squandering time and talent on inappropriate assignments, he will tell her to make the call. But, he will add, make sure you find out exactly what you are getting and what you are paying. The only surprises should take place onstage.
