Well-planned corporate events can energize conference attendees and enliven your conference. After planning the right entertainment, your conference guests should be ready to work more, learn more, and better absorb company programs and policies. Plan your program to fit the personalities of your audience, as well as your budget. If it is something that you would like to see, chances are your attendees will enjoy it too.

When you look for entertainment, you should look for a company that specializes in corporate events. This way, you will have very little work to take care of. Before you undertake your project, ask management for their suggestions, and this will give you a better idea as to what is expected. You want to make sure your entertainment is working with the conference venue to make sure things like lighting and sound are just right. Remember also, that food or beverage service, if planned, will fit seamlessly into your entertainment.

If your conference or seminar is taking place out of town for most guests, you can also take a look at local entertainment opportunities that will enhance your guests’ experience of the area. You might want to ask the hotel or venue or the local chamber of commerce for suggestions.

Remember that many of your attendees may be coming from a great distance. Consider entertainment that comes from local sources, like theaters and dance groups. If your event will be near Christmas, you might consider seasonal entertainment such as holiday plays, music, or dance.

So what kind of evening should you book? Think about the kind of people who will be attending your conference or seminar, and plan accordingly. Comedians can bring a welcome bit of humor into your event, but make sure they will not cross the line of what is appropriate before you book. Discuss with any vendor the subject matter of their speaker or comedian and, if possible, preview the act by requesting a video, DVD, or internet link.

Consider asking the management at your venue if they have suggestions for you and make sure you have a venue representative involved in all your event planning; that way, they can work with your entertainment to ensure that sound and lighting will be well-planned and any food or beverage service will fit in seamlessly with your entertainment.

Consider, also, the lead-in to your entertainment. You shouldn’t try to follow an intense seminar, for example, with a rock and roll act without first giving your guests a chance to relax with a cocktail hour or other way to decompress from the day’s activities.

Another great entertainment choice is comedy, but make sure any comedians or comedy troupes that you consider are comfortable working corporate events as you don’t want to bring in an act that may be off-color or could make your guests feel uncomfortable. The goal of your entertainment should be to relax and revitalize your guests.

The bottom line is that a well-planned event can re-energize conference attendees and help them recharge and rejoin your conference with a great attitude, ready to work together, learn, and make the most of everything else you are planning for them. Consider your options, your budget, and the personalities of your attendees and plan something fun. If it is something that you would look forward to, chances are your attendees will be looking forward to it too!
